Checking the post in the Inbox
For reviewers. Each scanned letter arrives already split out, named, summarised and with a suggested recipient. Your job is a glance and a keypress per letter, and a correction now and then.
The list
The Inbox is the queue: only letters that still need a look, newest first, each with a percentage for how sure SortedPost is. Everything else lives in the Archive next to it, with a filter for Approved (on their way), Delivered (arrived) and Rejected (binned). Use / on either to search by sender, title or any text in the letter, and the count by the Inbox in the sidebar shows how many are waiting.
Opening a letter
Click a letter, or move with ↓ ↑ (or j and k). The page shows the scan on one side and on the other:
| Title, sender, date, type | What SortedPost read off the letter. Click the title to edit any of them; the title becomes the file name where it's delivered. |
|---|---|
| Summary | One sentence: what it is and anything that needs doing by when. |
| Send to | The suggested recipient, with up to two alternatives and a few words on why. Change it by picking someone else. Add person if they're not on the list yet, then Re-analyse to re-run the routing against the updated list. |
| Send via | Which destination will be used. Usually right by default; change it for the odd letter that needs to go somewhere else. |
Approve, reject, move on
- A approves. The letter goes out through its destination straight away and the next one opens.
- R rejects. For junk mail and anything that shouldn't be delivered. Rejected letters can be reopened.
- Esc closes the letter. x ticks it so several can be approved or rejected together.
When the split is wrong
Two letters joined into one, or one letter in two pieces, is the mistake worth knowing how to fix:
- Split. Choose the page where the second letter starts, or use split here under a page thumbnail. Both halves get their own title and recipient.
- Merge. Join the letter with another from the same scan.
A letter with the wrong recipient is the other common fix. Just change it before approving. SortedPost remembers who you chose for that sender, and the suggestion improves.
Deliveries
Under the letter, Deliveries shows where it went and whether it arrived. If a delivery fails, say a SharePoint site was renamed, fix the destination and press Retry. Nothing is lost; the letter waits.
Other things you can do
- Upload a scan. Drop a PDF anywhere on the Inbox to feed in a scan from elsewhere.
- Archive. Everything delivered or rejected stays in the Archive until retention deletes it, searchable the same way. Tick letters there and Move to inbox to reopen them.
- Several at once. Tick letters in the list (or press x on each) and approve or reject them together. Only letters with a recipient chosen are approved; the rest are skipped and told you.
- Download PDF. For a letter you need to send on by hand.
